What are workflow executions?
This is the main indicator of actual usage in your operation. Each time something happens within a workflow (a stage changes, a rule triggers, an automation runs), it counts as an execution. Practical example: a contract that enters for analysis, goes through automatic screening, is forwarded to the person in charge, and generates a deadline notification has consumed four executions. Idle workflows consume nothing: you pay for what the operation actually moves.
What are automatic emails?
These are the emails that ENSPACE sends on your behalf without anyone needing to write them: deadline notifications, process movement alerts, communications with internal departments, and messages to external firms and partners. Emails that your team writes and sends via their regular corporate inbox do not count. The metric only measures what the platform triggers automatically.
What are records (or items)?
This is your company's living archive within ENSPACE: processes, contracts, internal requests, publications, history, and links stored on the platform. The count considers the active records in your database. It is a measure of the size of the information assets you manage, not what you do with them (that is what workflow executions are for).
What are external interactions?
These are actions involving people outside your internal team: a business department responding to a request, an outsourced firm validating a document, or a vendor returning an activity. Each request for information, validation, or feedback coming from outside counts as one interaction. It is the metric that measures how much your operation interacts with the world around it.
What is the difference between Full, Standard, and Viewer users?
These are three profiles with distinct roles in the operation. Full (management): configures the platform, creates workflows, defines rules, structures data, and manages governance. This is the person who designs how the operation works. Standard (operation): handles day-to-day tasks, executes actions, moves processes, populates records, and works within the workflows created by management users. Viewer (consultation): views information, dashboards, and reports without editing anything. This is the profile for executives, partner departments, and anyone who needs to monitor without operating. All profiles exist in all plans. What changes between plans is the quantity of each.
What are BENI AI credits?
BENI AI is the artificial intelligence integrated into ENSPACE, and credits are its currency. Every time the AI works for you—summarizing a case, classifying a request, analyzing a history, or supporting a decision within a workflow—it consumes credits. If the AI is not used, no credits are consumed. The credit-based model exists to provide predictability: you know exactly how much AI fits into your budget, with no surprises on your invoice.
What counts towards storage?
These are the files and documents attached to your records: petitions, signed contracts, receipts, spreadsheets, images, and other attachments stored on the platform. The structured data of the records themselves (fields, history, links) does not take up significant space. Storage is, in practice, a measure of the volume of documents in your operation.
What is SSO (Single Sign-On)?
SSO means your team accesses ENSPACE using the same corporate credentials they already use for other company systems (like Microsoft or Google), without a separate password. Beyond convenience, it is a common security requirement in corporations: when an employee leaves the company, their access to ENSPACE is automatically revoked along with their corporate account. Available starting from the Advanced plan.
What does the onboarding consulting include?
These are hours dedicated by our team to get your operation up and running: platform presentation, team training, guidance on configurations, modeling best practices, and go-live support. It does not include legal consulting or custom development. The role of our consulting service is to accelerate your adoption of the platform, not to operate it for you.
Does the Basic plan have fewer capabilities than the others?
No. The platform is exactly the same across all plans: the same building capabilities, the same integrations, and the same AI. What the Basic plan has is a lower volume: fewer executions, fewer records, and fewer users. A team on the Basic plan can build the exact same operation as an Enterprise client. The difference is the scale of it.
Do I need to build everything from scratch?
No. You can start with ready-made use cases that meet common needs and adjust them freely to your reality, or build your operation from scratch to match exactly how your company works. Both paths are available in all plans, and our implementation consulting team will guide you on which makes the most sense for each area of your operation.
Can I change my plan later?
Yes, at any time, and with zero migration costs because there is no migration. Since the platform is the same across all plans, changing plans simply adjusts your contracted volumes: everything you have configured, all your workflows, records, and history remain exactly where they are.
Can I use ENSPACE in more than one department?
Yes. Same platform, same contract. The contracted volume belongs to the company, not a specific department. If the Legal team already uses ENSPACE and HR wants to start, there is no need to buy another product: simply scale the plan to cover the combined volume of the operations.
Do integrations have an additional cost?
No. All native integrations are included in every plan at no extra cost: corporate email, WhatsApp (via Twilio), digital signatures, Microsoft Outlook, BENI AI, and other official connections. Integration is not a premium feature in ENSPACE; it is part of the platform.
Is implementation consulting mandatory? Is there a cost?
It is included in the plan at no additional cost: 10 hours for Basic, 30 for Standard, and 60 for Advanced. It is not mandatory, but it is highly recommended. It shortens the learning curve and ensures the platform delivers value from the very first weeks.
Do I need to know how to code to use ENSPACE?
No. ENSPACE is a no-code platform: workflows, rules, automations, and dashboards are built visually, without writing any code. Our implementation consulting team trains your staff on exactly how to do this.
